Implementing PropOps in Organizations

For consulting firms, we recommend two implementation scenarios that have proven successful in practice for deploying PropOps:
Implementation Scenario 1
Functional Strategy
“One step at a time” is often a prudent approach. In this scenario, PropOps connects service providers to PropOps Connect and issues the corresponding checklists in PropOps Comply.
The initial focus is on documenting inspections and maintenance, followed by comparing planned versus actual tasks, and finally, tracking deficiencies.
Gaining an overview of all maintenance and inspections across the portfolio—even during the planning phase—is a significant step. The corresponding bot in PropOps Comply monitors adherence to schedules and the agreed-upon documentation.
Only by comparing identified obligations with the actual scheduled maintenance and inspections can you achieve a comprehensive view of your building operations' compliance. Gone are the days of outdated Excel sheets with color-coded cells. The inspection bot automatically links tasks with obligations and highlights weaknesses.
Obligations don't end with completed maintenance and inspections. Deficiencies must be identified and documented within a specified timeframe. With PropOps' own deficiency tracking bot, this process becomes transparent and manageable.
Implementation Scenario 2:
Organic Strategy
If there's no time for a functional rollout of PropOps Comply due to pressing issues, introducing the system based on object or sub-portfolio priorities is advisable.
Checklists are gradually activated in PropOps Comply to address the most critical pain points, such as before or after an audit or during a due diligence phase. Subsequently, issues in specific clusters are resolved, eventually encompassing the entire portfolio.
Sometimes, focusing on specific properties is necessary to address the most significant challenges effectively. Only after these are resolved can you concentrate on the broader digitalization strategy.
Portfolio coverage can also proceed step by step. Clustering by service provider, fund, specific sub-portfolio, or region can be beneficial.
Ultimately, the entire portfolio is comprehensively managed within PropOps. All stakeholders share a common data foundation to work towards the set goals in building operations.

Blockchain
We don't believe in technology as an end in itself, but in its meaningful application.

Data Aggregation
PropOps aggregates and homogenizes your operational data in the cloud. Through a careful backup strategy and versioning of all data, it ensures that nothing is lost.

Fingerprinting
For every piece of data captured by PropOps, a mathematical fingerprint (called a hash) is created and stored in the IOTA Foundation's blockchain (Permanent Node of DLT) in Berlin. Like a human fingerprint, this verifies the data's identity without containing the data itself.

Tamper-Proofing
If needed, a current fingerprint (hash) of any data in PropOps, such as a document, can be taken and compared with the original fingerprint stored in the blockchain. If the fingerprints match, it can be technically proven that the data has not been altered since it was aggregated in PropOps.
